CLEO Meeting Setup

PTA Parallel Sessions (Friday)

Required Items

1. Laptop (from Sharon in Business Office)
   • Included in bag:
     • Remote Control
     • Laser Pointer
     • Mouse
     • Power Brick and Cord
2. Lapel Microphone (from cabinet in corner of room (underneath computer))

Procedure

1. CLEO spokesperson makes VRVS reservations
2. CLEO grad students start VRVS session
   1. Setup
      1. place laptop on center table, plug in accessories, and power on
      2. Connect VGA cable from KVM to laptop's external VGA connection
      3. Turn on the projector
      4. Login to laptop as LEPP and start firefox
         • open the meeting's agenda with file links
         • open the CLEO-mtg folder on the Desktop, and move all talks into the 'OLD' folder
         • download talks to the 'CLEO-mtg' folder on the Desktop
   2. start VRVS session
   3. clean up
3. Computer Group gives support as needed

Plenary Session (Saturday in Clark 700)

1. The Computer Group is responsible for any equipment repairs or replacements, and will provide a cell phone for the duration of the meeting.
2. The Computer Group (generally Mike Roman or Devin Bougie) will be accessible via email or phone and available as needed.
3. George Trutt will bring the "Clark VRVS Box" to Clark 700.
4. George Trutt will Setup Equipment and CLEO grad students will Start Meeting
5. After meeting and cleanup are over, the "Clark VRVS Box" will be brought back to L0 by George, or left in Clark A/V room.
